SmartList Export Solutions

If you regularly export data from a SmartList and format the data using Excel, then you’ll want to learn how to use the Export Solutions tool.  This tool allows you to run a macro within Excel on the exported data, allowing you to create calculated fields, charts, or even pivot tables automatically.  Not only will this save you time, but it will also add the convenience of having consistent formatting each time data is exported and eliminate human errors.

The setup of Export Solutions is very basic and only needs to be completed one time.  Follow these steps to have this handy tool setup in a matter of minutes:

1.       Open a SmartList and save it as a favorite if you haven’t already.  Export the data to Excel.

2.       Once Excel is opened, start a new macro and enter a name for the macro (remember what you name this macro for step 8).

3.       Format the data however you would like and stop the macro.

4.       Delete any data or any worksheets that have been added during formatting, including the original data that was initially exported.  Excel should look like a blank document at this point.

5.       Save the Excel spreadsheet as a xlsm file (Excel Macro-Enabled Workbook).  Close Excel.

6.       Open SmartList again and go to Smartlist > Export Solutions and enter a name.

7.       In the Document field, select the xlsm file that you just saved.

8.       In the Completion Macro field, enter the name of the macro that you created and saved.

9.       Select Excel as the Application.

10.   In the Works for Favorites list, select the SmartList(s) that you want to be available with Export Solutions.

11.   Click Save and close the window.  This completes the setup of the Export Solution.

After the steps above have been completed, you will have two options under the Excel export button in the SmartList window: Quick Export, which will export your data like it always has, and the name of your Export Solution.  Simply click on the name of the Export Solution to automatically export and format your data into Excel.
